2026 MIT Spring Career Night: Employer Logistics Packet

Arrival

A welcome package, including schedules and other important day-of guidelines, will be placed at your table.

There will not be a traditional check-in process. You may arrive at 4:30 pm and upon arrival, you can proceed directly to your table. (Table numbers TBA, check back in February)

A CAPD team member will be able to assist with any questions or concerns by the entrance.

Refreshments & food

All employers are provided with food and beverages.

Name badges

Please bring your corporate name badges. Blank sticky badges will placed at your table and extras will be available at the information desk at the entrance. We won’t have printed name badges.

Maps & table locations (TBD in February)

Table numbers will be assigned to your Handshake profiles. Maps will be uploaded in Handshake as attachments in the bottom left corner in February.

You can also find the floor plans and table numbers updated here in February.

Employers will have a 6’ table, with 2 chairs for up to 3 representatives. Tables will not have power outlets. There will be charging areas in the room.

If you need to ship an item, your registration covers the cost of shipping one box with a maximum weight of 50 pounds. Your item should be labeled with MIT Spring Career Night and your company name” and shipped to:

**Our staff will not be assisting with outbound shipping after the Fair.**

Complete the Employer Logistics Form (includes parking and interview room requests) by February 13th.

We highly recommend commuting to campus via public transit (MBTA) and using the MBTA Trip Planner site to assist with your travels.

If you are taking a Lyft or Uber, we suggest using 84 Massachusetts Ave, Cambridge for your drop off location and from there, you can view the map to locate Stratton Student Center.

If you would like to request parking on campus for Spring Career Night and/or Interview Day, please indicate that in the Employer Logistics Form. Please note that parking passes will be granted on a first-come, first-served basis. Requests for parking are not guaranteed.

If you intend to drive to campus and utilize public parking, your best bet is to type the event address, 84 Massachusetts Avenue, into Google Maps, and click on “parking” to see your options.

The following is a list of parking garages and areas on campus closest to the event location. You can also view the Campus Accessibility Map for more details. Please arrive early enough to ensure plenty of time to get from your parking location to your booth. 

  • Westgate Lot: 282 Vassar Street, (Available after 2:30 pm on Fridays and any time on weekends) 
  • Albany Street Garage: 20 Albany Street, (Available after 2:30 pm on weekdays and any time on weekends) 
  • Visitor Lot: 139 Mass. Ave., Rates Posted at Lot (Available all day, weekends and weekdays) 
  • Street Parking: Metered – The city of Cambridge and DCR have designated metered parking along select streets. Please read all posted signs concerning street cleaning dates, etc. 

In addition to these locations, other parking options further across campus can be found online. 

All approved and paid employers for Spring Career Night will be invited by MIT through Handshake to participate in the “2026 Spring Career Night Resume Book.” Employers cannot register for it; the Spring Career Night organizers must invite you to this resume book “event.” Please keep in mind that candidates have up to and through the day of the fair, February 26th, to add their resume to this “book.” We encourage you to check back often in the weeks leading up to the fair for new uploads.


Instructions for how to view the list of candidates attending the In-Person Fall Career Fair, including their email addresses

1. Log on to Handshake

2. Click on “Events” in the left-hand column. If you have been invited to the “Spring Career Night resume book” event it will appear in the list of events on the page. You can also search for it in the “keywords” box with keywords, “Spring Career Night resume book”.

4. Click on the “Students” tab

5. Review and/or download candidate information in one of the following 3 ways:

6. Send a personalized email to individual candidates to invite them to apply to a job or attend an event. NOTE: Depending on your Handshake account access level, you may or may not be able to message candidates directly through Handshake. Your alternative is to email the candidates directly through another email platform (Outlook, Gmail, etc.)

To mass email ALL candidates registered for Spring Career Night

1. Click on the box on the far left at the top of the list of candidates and then “Select All,” after clicking on “Select All” the content in the top of the box should change to show the number of all of the attendees and say ‘clear selection.”

2. Click on “Message Students” to the right-hand side of the box. After that, a message box will appear so that you can send one message to all registered candidates.


Tips for inviting candidates to your chat schedules

The following are some key things to include when you are reaching out to candidates to encourage them to sign up.

  • Brief description of your company in case they do not know much about your organization.
  • Your group session schedule and session titles
  • Encourage them to talk with your team members 1:1
  • Invite them to Interview Day (day after the fair) and sign up for a time slot

 Do not provide a link to your Handshake account, as it will not allow the candidate to find your virtual fair chat sessions.

All deadlines must be met by 11:59pm EST on a corresponding day. The date listed is the absolute deadline for the associated item. Action items are included. 

February 13

  • Last day to register for the Spring Career Night
  • Last day to submit full payment for the fair
  • Last day to cancel registration. In order to be considered for a full refund, please email cfairs@mit.edu. 
  • Last day to request, pay for, or cancel interview day requests. If you have already submitted payment for interview day, you will need to email cfairs@mit.edu. 
  • Complete the Employer Logistics Form

February 20th

If you decide to ship a package, it must arrive to the address provided above.

February 26th  

MIT Spring Career Night, 5 – 7:30pm EST 

  • Employer arrival begins at 4:30pm 
  • Located at the Sala de Puerto Rico in the Stratton Student Center (Building W20).

February 27th

Interview Day, 9am – 4pm EST 

We strongly recommend that you pay by credit card through Handshake. To pay online, you will receive an invoice from us after you have registered. On the invoice, you will see a “click and pay” hyperlink to pay by credit card on the Handshake platform.  

If you prefer to pay via check or wire transfer, please reach out to cfairs@mit.edu for details.

As described later in this page under the add-ons section, we highly suggest selecting all add-ons you would like in this initial registration. Due to the set-up of Handshake, add-ons added to your registration after your initial invoice requires an email to cfairs@mit.edu

The final deadline for payment is 11:59pm EST on Friday, February 13, 2026. Checks postmarked after this date will not be accepted and your company will not be eligible to participate in the Spring Career Night. 

If you want to cancel your registration, please email cfairs@mit.edu with the subject line, “[COMPANY NAME] Cancellation of SCN26 registration” by 11:59pm EST on Friday, February 13, 2026.

Any cancellations after this date will not be offered a refund.  

Interview Day is scheduled for Friday, February 27, 2026, from 9 AM to 4 PM, the day after the Fair, located in CAPD’s Recruiting Suite in Building E17-294

Please note that companies are responsible for creating their own interview schedules. A scheduling template is available upon request by emailing cfairs@mit.edu.  

We request: 

  • Interview be kept to 30 minutes 
  • Employers schedule their last interview of the day no later than 3:30 pm and end by 4 pm
  • Provide a copy of your interview schedule to the CAPD
  • Please review a more detailed breakdown of Interview Day expectations for employers by visiting our website.

Please complete the Employer Logistics Form to provide us with essential information about your interview room needs. If you do not plan to interview that day, please select the “no” box. If your company’s form is not received by February 13, you will not be able to participate in Interview Day. 

Note: MIT CAPD offers on-campus interview rooms. You can find more information about interviews held in CAPD online.

Many of the accommodations in Boston and Cambridge are accessible by the MBTA subway system.
